The cleanup after the New Year’s party; how proper governance can de-clutter and optimize your Docebo for the new year

NEW YEAR, NEW YOU, NEW PLATFORM

Festive graphic with large text “HAPPY NEW YEAR,” blue fireworks in the sky, and five illustrated people celebrating with confetti and sparklers on a light background.

The clock strikes midnight, and in a blur of fireworks 2025 is over and we find ourselves crash-landing in the cold and dark month of January.

On January 1st, many of us would be waking up to the settled chaos of a post-NYE party; scattered confetti, liberal distributions of paper plates, spilled beverages on the sofa.

Standing with our sore heads and surveying the damage, many of us would be thinking the same early thoughts of the new year:

“It’s not my job to clean this up, is it?”

But while January can be a dampening month in terms of both weather and our spirits, it’s also a valuable time to address what’s been quietly getting messy all year.

Docebo is the best learning platform on the market, but with enough time any platform can start to resemble that post-party house. If you have old data from forgotten learning initiatives piled high like dishes in the sink, training courses strewn around like pizza boxes and a lack of resources to maintain and clean up junk data (“Really, it’s not my job to clean this up, is it?”)

But have no fear; while gym memberships fade away, help is at hand to revitalize your platform. If you haven’t already, it’s time to start thinking – or re-thinking – about governance.

Why Docebo Governance Matters

Governance is an often-underdeveloped area of platform development. The responsibility for oversight and maintenance is not always desirable. NYE parties are fun – soaking up spillages with a dishcloth, less so. But it’s through governance that we keep an platform consistent, clean, and easy for users and Administrators to navigate.

To boil governance down to its simplest definition, it’s:

  • Who is allowed to do what
  • Who is the decision maker
  • What rules everyone follows
  • How things are reviewed and kept under control

Are your training materials consistently named and categorized? Are your users organized and receiving the optimal training experience, depending on their learning goals and expectations? Do you have the right people in place to maintain your platform?

The Benefits of Strong Governance in Docebo

If these questions are a little uncomfortable, that’s the first sign that governance may need some attention. It’s never too late to clean things up. You’ll be surprised by how many benefits there are to a decluttered platform. To name a few:

  • Reduction of Administrative Load: When users only see relevant content, queries drop – freeing up your Admin’s time to focus on forward-thinking initiatives
  • Easier and Faster Reporting: Organized training materials are easily reported on, letting you produce stats lightning-quick (you never know when you’ll need to pull some analysis urgently!)
  • Clear Accountability for Actions: Platforms get paralysed when there’s no clear indication of who should be doing what. When people’s roles are clearly defined, you get focused Administrators who are ready to make the most of the platform’s tools to drive engagement. Chaos is easier to tackle when divided (you tidy the pizza boxes, you try tackling the stains on the sofa).

How to Optimise Your Docebo Platform

But like many New Year’s Resolutions; these things are easier said than done. What can we actually do to fix up our platform? Let’s start with a few ideas below.

Clear out old materials

Sometimes you have to ask yourself: “Does this spark joy?”

You don’t have to be Marie Kondo to identify training elements that have aged out of use. Reporting can help find those eLearnings and resources that are gathering dust in some corner of the platform. If it’s not in use, archive it so your Administrators don’t have to scroll past it all the time, and absolutely remove it from user’s profiles so they aren’t wasting their time reviewing it.

How GuyKat can help

Identifying and removing materials can be a laborious task. Our data analysts can help you identify any areas of low engagement where your training courses need to be sunset, and our software team can process large-scale cleanup tasks via time-saving methods that make cleanup a breeze.

Now the junk is gone, do you need to reformat your courses’ metadata to follow a specific standard across the platform? Just let us know your desired format and we can make amendments to mountains of courses via our team’s software tools far more quickly.

Spruce up the Interface

Is your platform’s look and feel appearing a little dated? The platforms that boast the best engagement have clean and simple interfaces which achieve learning goals with minimal clicks. If you can reduce the amount of navigation a user has to do to get where they need to be, do it! A user can’t complete their training if they can’t find it!

How GuyKat can help

We have entire platoons of design experts who are eager to optimize your platform interface. From simplifying your platform’s design with ‘out of the box’ tools and widgets, to completely revamping the platform’s experience with coding wizardry that can completely transform your user’s experience according to your wishes.

Empower your admins!

All too often, responsibilities for a platform fall into the hands of a small number of personnel, resulting in bottlenecks and siloed expertise. To defeat this, consider who needs to be responsible for which actions. Do you have people who can be empowered to monitor training completions? Who can be responsible for data analysis? Who can help the users access their training?

It can be scary putting these powers in the hands of Admins but Docebo’s ‘Power User’ functionality can customize the data they have access to down to granular details. If you’d rather an Admin have access to just one population’s data or only to specific functionalities, the Power User functionality has you covered.

How GuyKat can help

Power User functionality can be complex, and it leans quite heavily on a good foundation of governance throughout the rest of the platform. When users and training courses are easy to group, they’re easy to assign to Power Users. We can help organise your platform so data is easy to assign, access, and govern. From there, we ensure each Administrator has the tools, access, and training they need to be fully self-sufficient.

How do I get started?

There’s more to governance – we haven’t even discussed automatic training assignments, automated training communications, and our migration tools which can even format and tidy data from other platforms upon arrival to Docebo – but the key takeaway to kick off 2026 is this:

With a little preparation, and the right help from our experts, even the most chaotic platform can become an optimized, engaging, and fun place for learners to visit. Not just for January – for good.

If your platform is like a house after an NYE party, think of us as being a team of maids and cleaners. Here to take the pain out of the tidying-up. Just point us at a mess and let us do the rest. Grab yourself a cup of tea and kick back on that sofa… just let us pop some baking soda on that stain first.

Don’t do the tidying up alone…

If you’re ready to optimise your Docebo platform with clear, scalable governance, don’t do the tidying up alone.
